Privacy Policy

This Privacy Policy explains how Fire Creative / BKN Films (“Fire Creative,” “we,” “us”) collects, uses, and shares information when you use Workhorse Production Tools (“Workhorse”). It applies to the account holder and to anyone whose information an account holder enters into the Service (for example, crew members, sponsors, or vendor contacts).

1. Information We Collect

Account information

Your email address, used to sign you in via a one-time email link (Workhorse does not use or store passwords).

Production data you enter

Documents you upload (permits, certificates of insurance, W-9s, deal memos, and similar files) and the information extracted from them; crew member names, contact details, and availability; meeting and vendor contact information; budget and vendor line items; sponsor and deliverable details; equipment inventory; run-of-show segments and show cues; advance-check notes; and any voice input you submit to the in-app voice feature.

Billing information

Your subscription plan and status. Full payment card details are collected and stored by our payment processor, Stripe, directly — we never receive or store your full card number.

Usage & technical data

Standard technical data generated by using a web application (such as request logs), collected by our hosting provider to operate and secure the Service.

2. How We Use Information

• To provide, maintain, and operate Workhorse’s features (paperwork tracking, crew booking, budgets, reminders, and so on);
• To process uploaded documents and voice input through our AI provider in order to extract details like document type and key dates;
• To send account-related emails, such as sign-in links and deadline reminders;
• To process subscription payments and manage billing;
• To maintain the security, integrity, and reliability of the Service;
• To comply with legal obligations.

We do not sell your information, and we do not use your production data to train our own AI models.

3. AI Processing

When you upload a document or use the voice feature, its content is sent to our AI provider, Anthropic, solely to extract structured information (like document type, key dates, and task details) and return it to Workhorse. This processing is subject to Anthropic’s own data-handling terms for API customers.

4. Service Providers We Use

We share information with the following providers, solely as needed to run Workhorse:

• Vercel — application hosting, and Vercel Blob for storing uploaded files;
• Neon — our Postgres database provider, where your production data is stored;
• Anthropic — AI processing of uploaded documents and voice input, as described above;
• Stripe — subscription billing and payment processing;
• Resend — sending sign-in and reminder emails;
• monday.com / Zoom (optional) — if an account owner configures these integrations, relevant task or meeting data is shared with that service to create the linked item or meeting.

We do not otherwise share your information with third parties, except where required by law or to protect our legal rights.

5. Data Retention

We retain account and production data for as long as your account is active, and for a reasonable period afterward in case you reactivate or as needed for legal, accounting, or security purposes. You can request deletion of your account and associated data at any time (see Section 7).

6. Data Security

We use industry-standard measures — including encrypted connections and provider-managed database security — to protect information in Workhorse. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

7. Your Choices & Rights

You can review and update most information directly in the app. To request a copy of your data, correction, or deletion of your account and associated data, contact us at brian@fire-creative.com. If you are entering another person’s information into Workhorse (for example, a crew member’s contact details), you are responsible for having their permission to do so and for directing any requests from them to update or remove their information.

8. Children’s Privacy

Workhorse is a business tool intended for production professionals and is not directed at children. We do not knowingly collect information from anyone under 18.

9. Data Location

Our service providers host data in the United States. By using Workhorse, you consent to the processing and storage of information in the United States.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If changes are material, we will make reasonable efforts to notify account holders (such as by email or an in-app notice). The “Last updated” date above reflects the most recent revision.
